About this Role
This is an important role in managing talent acquisitions operations in a shared services model. This role will primarily support US, UK and Mexico.

Key Responsibilities:
Recruitment Operations Support
- Provide administrative and operational support across the recruitment lifecycle, from requisition creation to onboarding handoff.
- Support job posting activities on internal and external platforms as per defined process.
- Assist in creating and maintaining candidate records in the Applicant Tracking System (ATS) and HR systems.
- Ensure recruitment-related data is updated accurately and in a timely manner.
Interview Coordination
- Schedule interviews between candidates, recruiters, and hiring managers across time zones where applicable.
- Manage interview logistics including calendar invites, meeting links, room bookings, and panel coordination.
- Communicate interview schedules and instructions clearly to candidates and internal stakeholders.
- Rescheduling interviews as needed and ensure seamless coordination.
Offer and Pre-Employment Administration
- Support preparation of offer letters and related hiring documentation.
- Track completion of documents required for offer release and pre-joining formalities.
- Coordinate with candidates on submission of required documents and forms.
- Liaise with background verification, onboarding, and HR operations teams for smooth process closure.
Process and Compliance Management
- Ensure all recruitment transactions are processed in line with company policies, service level agreements, and compliance requirements.
- Maintain confidentiality of candidate and employee information.
- Support audit readiness by maintaining proper documentation and recruitment records.
- Follow standard operating procedures and escalate exceptions or issues in a timely manner.
Reporting and Data Management
- Prepare and maintain recruitment trackers, dashboards, and reports.
- Monitor recruitment process metrics such as interview scheduling turnaround time, offer release timelines, and status updates.
- Highlight data discrepancies and support cleanup activities in systems and trackers.
Stakeholder Support
- Serve as a first point of contact for routine talent acquisition operations queries from recruiters, candidates, and hiring managers.
- Provide timely and professional responses to queries on interview scheduling, documentation, and recruitment process steps.
- Work closely with recruiters, other HR shared services team, HRIS, onboarding, and vendor partners to ensure smooth delivery.
Strong knowledge of using an ATS or HR system
- Ensure all processes and data points are updated in Workday
- Make sure that data quality is high and there are zero mistakes in the information input into the system
- Should have input, implemented or have a strong knowledge of Talent Acquisition HCM/ Workday TA module.
Continuous Improvement
- Identify opportunities to improve efficiency, candidate experience, and process accuracy.
- Support implementation of process improvements, templates, and standard work instructions.
- Participate in team meetings, training, and knowledge-sharing sessions.
Required Qualifications
- Bachelor’s / Master’s degree in Human Resources, Business Administration, Psychology, or a related field.
- 2–4 years of experience in HR operations, recruitment coordination, shared services, or administrative support.
- Basic understanding of recruitment lifecycle and HR processes.
- Experience working with Microsoft Office tools such as Excel, Word, Outlook, and PowerPoint.
- Familiarity with ATS or HR systems is preferred.
