Manage complex executive calendars, including scheduling across multiple time zones, resolving conflicts, and proactively prioritizing leader time. Coordinate internal and external meetings, including logistics, agendas, materials, technology needs, and follow-up coordination. Arrange domestic and international travel, including itineraries, accommodations, transportation, and related logistics. Prepare and organize materials for meetings, presentations, and leadership engagements. Support executive communications by drafting, formatting, proofreading, and distributing routine correspondence and business documents. Manage expense reporting, purchase requests, invoices, and other administrative processes accurately and on time. Partner with other executive assistants and cross-functional stakeholders to coordinate leadership meetings, team events, offsites, and employee engagement activities. Anticipate leader needs, identify scheduling or logistical risks, and take proactive steps to remove friction from day-to-day operations. Handle confidential and sensitive information with discretion, professionalism, and sound judgment. Identify opportunities to improve administrative routines, processes, and team coordination. 8+ years of executive administrative support experience supporting senior leaders or executives. Prior experience working for a technology/SAAS company, preferably in a communications or marketing team. Demonstrated experience managing complex calendars, travel, expenses, and meeting logistics in a fast-paced environment. Exceptional organizational skills, attention to detail, and ability to manage multiple priorities simultaneously. Strong written and verbal communication skills, with the ability to prepare polished, accurate, and professional materials. Proficiency with Microsoft 365, including Outlook, Teams, Word, Excel, and PowerPoint. Experience supporting VP-level or executive-level leaders in a large, matrixed, global organization. Experience coordinating leadership meetings, offsites, employee events, or executive-level forums. Experience working with geographically distributed teams and leaders across multiple time zones. High degree of professionalism, discretion, and judgment when handling confidential information. Ability to work independently, anticipate needs, and follow through with limited direction. Strong relationship-building skills and ability to collaborate effectively across teams, functions, and levels.
