Associate Coordinator/Receptionist - Level 1

The Associate Coordinator/Receptionist will serve as the welcoming point of contact for Amgen’s Washington, D.C. office. This role is responsible for creating a positive first impression for visitors and staff, coordinating front desk operations, and supporting day-to-day office activities.
Responsibilities will include:
- Front Office Operations – Serve as the first point of contact for guests, visitors, and staff by managing front desk operations, answering and directing calls, and providing exceptional customer service while fostering a professional, inclusive, and welcoming office environment.
- Off-Site Meeting and Visit Logistics – Coordinate and support logistics for off-site meetings, executive visits, and special events, including the preparation, organization, and secure delivery of materials to ensure successful execution.
- Office Readiness & Workplace Experience – Prepare and maintain office and shared spaces at the beginning and end of each day, ensuring all areas are clean, organized, fully functional, and ready to support employees and visitors.
- Facility Support – Coordinate facility maintenance requests, manage office and kitchen supply inventories, place orders as needed, and ensure storage areas remain well-stocked, organized, and operational.
- Conference Room Coordination – Schedule conference rooms, coordinate meeting logistics, support audio-visual and IT-related requests, and maintain meeting spaces to ensure a seamless and professional experience for all users.
- Event and Meeting Support – Responsible for planning, coordinating, and managing DC staff lunches, meetings, and small office gatherings in the Washington, DC office, including catering arrangements, event logistics, setup, and cleanup to ensure a seamless and professional experience.
- Mail and Package Handling – Manage all incoming and outgoing mail and package operations, including receiving, sorting, tracking, and distributing shipments from carriers such as USPS, UPS, and FedEx. Ensure timely, accurate, and secure delivery of correspondence and packages while maintaining organized mailroom processes and supporting office operational needs.
- Administrative Support – Provide basic day-to-day administrative support to Washington, DC office staff, including coordinating travel, processing expense reports, scheduling conference rooms, managing printing requests, and addressing other operational and administrative needs as they arise.
- New Hire Onboarding – Coordinate and support new employee onboarding by preparing workspace materials, organizing required resources, and assisting with orientation logistics to ensure a smooth and positive onboarding experience.
- Safety and Emergency Readiness – Support the Emergency Response Team (ERT) by maintaining and monitoring emergency supplies, assisting with workplace safety and preparedness initiatives, coordinating readiness activities, and helping ensure compliance with established safety protocols and emergency response procedures.

Basic Qualifications
Associate’s degree OR
High school diploma / GED and 2 years administrative experience OR
Certification that is directly related to the role and 2 years administrative experience
Preferred Qualifications:
Good communication and customer service skills
Good organizational and time management abilities
Comfortable learning new office systems, scheduling tools, and basic technology platforms
Demonstrated reliability and attention to detail
Ability to work effectively with diverse teams and individuals

The expected annual salary range for this role in the U.S. (excluding Puerto Rico) is posted. Actual salary will vary based on several factors including but not limited to, relevant skills, experience, and qualifications.
