Position Overview
As a Lobby Reception Specialist on the Lobby Reception team, you will report directly to your Lobby Reception Manager, and will be a senior member of the team, consisting mostly of Lobby Receptionists. Your day-to-day work will occur on-site in our client-facing Lobby Reception space.
Job Responsibilities
- Welcome, register, check in, and assist clients and visitors attending meetings and events.
- Support employees with temporary access, badges, information, and general assistance.
- Follow all building and security procedures to maintain a safe and secure environment.
- Deliver first-class service and exceed Lobby Reception standards.
- Stay informed on daily meetings, events, and VIP visits through visitor management systems.
- Partner with Global Security, Real Estate, Technology, and other teams to enhance the office experience.
- Serve as a central point of contact and escalation resource for the Lobby Reception team.
- Create weekly coverage schedules and manage staffing for events, VIP visits, and peak periods.
- Manage time-off requests and calendars while maintaining operational coverage.
- Build relationships with key building partners, maintain supplies and uniform inventory, and advocate for the team.
- Track visitor and employee volume metrics, support continuous service improvements, and complete special projects.
Required qualifications, capabilities and skills
- Minimum 3 years’ experience in high-end reception, concierge, or hospitality services
- Excellent interpersonal and verbal/phone/email communication skills with an outgoing personality
- Ability to work in a fast-paced environment, quickly problem solve, and manage difficult personalities while maintaining a professional and focused demeanor
- Proficiency in Microsoft Office
- Must be willing and able to stand/walk for long periods of time (1 hour +)
- Must be willing and able to work flexible shifts (potentially different start or end times each day)
- Must be willing and able to work in different offices throughout the campus (NYC positions only)
Preferred Qualifications
- Leadership/supervisory experience (a plus)
- Familiarity with event, room, or visitor management systems (a plus)
- Bi-lingual, particularly Spanish-speaking (a plus)
