DuPont is currently recruiting for a Senior Administrative Specialist at our corporate headquarters in Wilmington, DE.
The Senior Administrative Specialist serves as a highly visible and trusted administrative partner supporting DuPont Engineering and Early Career Talent programs. This role is designed for a high-functioning administrator who thrives in a fast-paced environment, demonstrates exceptional organizational and project coordination skills, and effectively manages multiple priorities simultaneously.
The position is responsible for coordinating talent development programs, engineering organization activities, initiating early career onboarding and development processes, training events, communications, financial administration, and stakeholder engagement. The successful candidate will ensure seamless execution of program administration while driving efficiency, consistency, operational excellence, and exceptional employee experience.
Key Responsibilities
Administrative Support:
Provide comprehensive administrative support to Engineering and Talent Development leadership teams.
Manage complex calendars, schedule meetings, and coordinate stakeholder communications.
Draft, edit, and distribute professional communications, presentations, announcements, and program updates.
Support office operations, including supplies, service contracts, security access, badging, catering, and facilities-related requests.
Handle confidential and sensitive information with discretion and professionalism.
Early Career Program Support:
Coordinate onboarding and offboarding activities for interns, co-ops, rotational employees, and full-time hires.
Support Early Career Talent Development programs, including mentoring initiatives, leadership development activities, Annual Development Meetings (ADM), and New Employee Orientation (NEO).
Schedule and coordinate participant rotations, coaching sessions, leadership meetings, and development discussions.
Maintain participant records, training documentation, learning plans, and program communications.
Track program milestones, action items, and deliverables to ensure timely completion.
Monitor program activities and provide updates to leaders and stakeholders.
Financial & Systems Administration
Execute and monitor purchase orders through SAP/SRM systems.
Process invoices, vendor payments, expense tracking, and rebilling activities as required.
Support vendor onboarding and maintenance of vendor master data.
Assist with software purchases, engineering tool procurements, and capital purchases.
Administer timekeeping processes and support compliance with corporate policies and procedures.
Support cost management efforts and operational efficiency initiatives.
System Management:
Maintain and enhance SharePoint sites, Teams channels, distribution lists, and program documentation.
Assist with expense management systems (Concur, SAP/SRM) and ensure compliance with corporate policies.
Support special projects and organizational initiatives as assigned.
Optimize cost-to-serve objectives by leveraging internal resources.
Perform Time Card Administration for DuPont Engineering Organization
Assist with direct capital purchases in SAP
Event Planning & Logistics
Plan, organize, and execute webinars, town halls, engineering forums, training programs, recruiting events, and leadership meetings.
Coordinate all event logistics, including facilities, catering, materials, registration, travel arrangements, and virtual meeting platforms.
Support university recruiting activities, career fairs, intern programming, and student engagement initiatives.
Coordinate domestic and international travel arrangements as needed.
Manage shipping, receiving, and distribution of event materials.
Job Qualifications Profile
The following qualifications are Required:
Associate degree in Business Administration, Human Resources, Organizational Development, Project Management, Engineering Administration, or a related field; equivalent experience may be considered.
Minimum of 5 years of progressively responsible administrative, program coordination, project management, or operations support experience.
Experience supporting multiple stakeholders and managing complex programs in a dynamic corporate environment.
Experience coordinating employee development programs, onboarding activities, training events, engineering programs, or university recruiting initiatives.
Advanced proficiency with Microsoft 365 applications, including Outlook, Excel, Teams, PowerPoint, SharePoint, and Power BI.
Ability to manage data, reporting, documentation, and collaborative digital workspaces.
The following qualifications are Preferred:
Bachelor degree in Business Administration, Human Resources, Organizational Development, Project Management, Engineering Administration, or a related discipline.
Working knowledge of SAP, SRM, Concur, procurement systems, invoicing, and expense management processes.
