DESCRIPTION:
The Senior Procurement Coordinator plays a key role within the finance department, responsible for processing purchase requisitions into purchase orders, responding to related inquiries and maintaining accurate purchase order files. Coordinates with various departments to resolve discrepancies and provides guidance and support to employees regarding their Purchase requisitions. This role includes advanced responsibilities such as managing complex cases, participating in and/or proposing process improvement initiatives, training junior team members. This role requires a strong focus on customer service, problem-solving skills, teamwork, strong knowledge in software used, and exceptional organizational abilities.
Key Responsibilities
- Purchase order processing: Act as category/queue owner on more complex assignments. Receive, review and process requestor's Purchase Requisitions within agreed SLA. Ensure they are accurate, with sufficient price evidence and approvals, and in compliance with company policies and procedures. May assist with obtaining quotes for competitive bidding or tracking orders.
- PO Maintenance and Hold code resolution: Lead investigation of discrepancies between Purchasing, Receiving, and Accounts Payable systems. Prepare basic analysis and working files to be distributed between team members. Perform PO Change Orders when requestor is unable to.
- Communication and Management: Act as the primary point of contact for internal customers regarding PR/PO status, PO changes and inquiries, and issue resolution. Build and maintain positive relationships through clear and professional communication. May act as the primary point of contact for complex supplier inquiries, PO issues, and dispute resolution.
- Record Keeping: Maintain accurate and current electronic system of record relative to purchase orders, approvals and any auditable activity. Ensure documentation is available for audits and financial reporting.
- Compliance and Controls: Ensure adherence to company policies, financial regulations, and compliance requirements in all aspects of purchase order processing.
- Collaboration: Work closely with other departments, such as Global Procurement, Vendor Management, and Finance, to ensure smooth PO processing, issue resolution, and application of Procurement strategies.
- Process Improvement: Identify opportunities to improve purchasing processes for efficiency and accuracy. Contribute to the development and implementation of best practices in the department. Undertake tasks and projects as assigned by purchasing management.
- Team Leadership and Training: Provide guidance and training to junior team members. Assist in developing their skills and knowledge in Procurement processes.
REQUIREMENTS:
- Associate or bachelor’s degree in relevant field.
- Previous experience in Procurement or related field that provides the knowledge, skills, and abilities to perform the job (a minimum of 3-4 years).
- Experience in processing Purchase Requisitions and Purchase Orders.
- Strong knowledge of Purchasing processes and Procurement best practices.
- Proficiency in Purchasing Software and Microsoft Office programs, especially Excel
- Strong organizational skills and the ability to manage multiple tasks simultaneously with a high degree of accuracy.
- Excellent communication skills, both written and verbal, with the ability to interact effectively with internal teams and external parties. Possess the maturity to handle sensitive information and data effectively.
