Position Summary

The Receptionist is responsible for answering and directing incoming calls, providing basic information to visitors and callers, and greeting clients professionally. The role handles incoming and outgoing mails, and coordinates appointments, meetings, and office events. They maintain office supplies and ensure a clean and organized workspace and assist with administrative tasks.

What will your job entail?

In-office Miami-based part time (8am-2pm) or full-time

Job Responsibilities:
• Greet and direct visitors to the company.
• Answer telephones and direct the caller to the appropriate associate.
• Provide callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.
• Schedule guests for entry through I-Visitor system.
• Schedule and maintain conference room calendars.

• Upload, code, and route invoices to the finance department for vendor payments

• Receive, sort and forward incoming mail. Maintain and route publications.

• Coordinate travel and expense reporting.
• Coordinate the pick-up and delivery of express mail services (FedEx, UPS, Messenger, etc.)
• Order, receive, stock, and distribute office supplies.
• May also assist with other related clerical duties, typing of memos, photocopying, faxing, filing, or collating.
Assist with offsite client events as assigned that may involve working outside of regular business hours.


Required Experience and Education:
· 6 months+ of related experience.
· Ability to work independently on assigned tasks and accept direction as required.
· Ability to work collectively with the administrative team associates.
· Proficiency in Microsoft Office including Outlook, Word, and Excel.

Preferred Experience:

· Experience using Deem or other travel booking management platforms.

· Experience using Workday or other HRIS platforms.

· Bachelor’s degree in Business Administration, Communications, or a related field

The target hourly rate range for this position is $26.00 - $33.00 per hour.

The wage range for this role considers many factors, such as training, transferable skills, work experience, licensure and certification, business needs, and market demands. The pay range is subject to change and may be modified in the future. Full-time roles are eligible for bonuses and benefits.
