ABOUT THE POSITION
The Degree Completion & Graduation Analyst provides professional leadership and expert processing for the college’s graduation and credentialing functions. The position processes the graduation applications, conducts complex eligibility reviews and degree audits, manages a caseload of denied‑graduation students, and leads the design and continuous improvement of procedures, outreach, and data practices that accelerate credential attainment while safeguarding academic integrity. The Analyst develops annual work plans and measurable results for graduation operations; interprets and translates academic policy into clear workflows; maintains standards for degree‑audit/exception practices; provides resource and cost projections to inform budget decisions; and proactively communicates when additional processing support is needed due to peak volume or competing priorities.
This position plays a key role in advancing the college’s Strategic Enrollment Management (SEM) goals by strengthening the graduation pipeline, improving completion and transfer outcomes, and supporting outreach initiatives for stop‑outs, near‑completers, and adult learners. The role advances institutional goals related to student success, equity, and completion.
YOUR QUALIFICATIONSESSENTIAL: These qualifications are required to move forward; as such, (ensure your application contains descriptions of your education and work experience sufficient to demonstrate competency in each of the following):
Two (2) year of experience in graduation/credential evaluation, degree audit, or student records within a college or university registrar/records office. A Bachelor’s degree may substitute for one (1) year of experience; an Associate’s degree may substitute for six months of experience.
Advanced working knowledge of degree audit systems (uAchieve/DARS or equivalent) and student information systems (ISRS or similar) used to evaluate and certify completion.
Demonstrated experience reviewing academic records for graduation eligibility, interpreting catalog/academic policy, and applying petitions/exceptions with consistency and integrity.
Strong attention to detail and quality control; ability to manage high‑volume, deadline‑driven workflows across multiple terms.
Proficiency with Excel and basic reporting or dashboard tools to track pipelines, identify near‑completers, and monitor outcomes.
Clear, student‑centered written and verbal communication skills, including the ability to explain complex requirements to diverse audiences.
Demonstrated equity‑minded service and ability to work effectively with diverse student populations.
PREFERRED:
Four (4) or more years of registrar/records experience with primary responsibility for graduation certification/conferral.
Experience leading a graduation cycle (timelines, audits, denial review/caseload management, degree posting, diploma production).
Experience maintaining graduation policy/procedure documentation, decision trees, and communication templates.
Experience designing or using dashboards to identify near‑completers/stop‑outs and running targeted outreach campaigns; ability to assess impact and close equity gaps.
Familiarity with Minnesota State policies and Normandale procedures related to academic standing, repeats, residency, catalog year, and FERPA/MGDPA.
Experience coordinating data and communications for commencement (eligibility lists, honors, programs) and partnering with Advising, Marketing, Student Life, and Academic Affairs.
Knowledge of process improvement (Lean/Kaizen) and/or project management practices to reduce error rates and time‑to‑conferral.
Bachelor’s degree; Master’s in higher education, public administration, business, data analytics, or related field preferred.
Proficiency in Spanish, Somali, Hmong, or Arabic to support multilingual student populations.
