About the role

Compliance & Admin Manager is responsible for ensuring that all plant operations are conducted in full compliance with applicable legal, regulatory, corporate, and ethical requirements while providing effective administrative and operational support to the business.

The role leads the management of outsourced services and administrative operations, including security, catering, transportation, facility management, cleaning, and other general services, ensuring compliance with company standards, contractual requirements, and cost-effectiveness objectives. It is also responsible for procurement and supply processes related to facility operations, employee services, and workplace resources.

The role also has a responsibility to provide communication with government authorities, regulatory bodies, local community organizations, ensuring all licenses, permits, statutory obligations, and reporting requirements are maintained and fulfilled in a timely manner.

  • Industrial Registry Certificate,
  • Annual Industrial Operations Report.
  • Ensures timely, accurate, and compliant submission of statutory reports, declarations, and official communications.
  • Coordinate preparations for inspections, audits, and reviews conducted by regulatory authorities and external agencies.
  • Act as the liaison between the plant and government institutions, regulatory bodies, local authorities, industry organizations, and neighbouring businesses.
  • Support government reporting requirements related to employees.
  • Serve as Contract Manager for facility-related outsourced services, including security, catering, transportation, cleaning, and infrastructure maintenance.

  • Supports the development of technical specifications, tender documentation, and supplier selection processes in collaboration with Procurement Department.
  • Monitor contractor performance against contractual, safety, quality, and service-level requirements.
  • Conduct periodic reviews, audits, and performance evaluations of service providers and ensure closure of identified actions.
  • Optimize costs while maintaining service quality and compliance standards.
  • Lead delivery of all administrative services required for uninterrupted plant operations.
  • Manage company vehicle administration, maintenance program, usage records, and compliance with company policies.
  • Oversee employee transportation services, route optimization activities, and transportation risk management processes.
  • Coordinate workplace services including employee uniforms, office supplies, consumables, and operational support materials.
  • Ensure visitors, customers, auditors, and guests receive effective logistical and administrative support.
  • Maintain workplace infrastructure, cleanliness, and housekeeping standards in line with company expectations and 5S principles.
  • Manage purchasing activities for plant administration and general services requirements.
  • Conduct supplier evaluations and support onboarding of suppliers into company procurement and payment systems.
  • Raise purchase requisitions, coordinate goods receipt processes, and ensure proper documentation of procurement activities.
  • Monitor consumption levels and availability of administrative supplies, consumables, and employee-related resources.
  • Support budget management through effective cost control and spending visibility.
  • Lead incoming and outgoing official correspondence and ensure proper tracking, filing, retention, and archiving.

  • Oversee document retention and destruction processes in accordance with legal and company requirements.
  • Develop, maintain, and periodically review procedures, work instructions, forms, and supporting documentation within the Quality Management System.
  • Ensure documentation within the area of responsibility remains current, compliant, and audit ready.
  • Fulfil Area Authority responsibilities and ensure compliance with Control-of-Work (CoW) requirements.
  • Participate actively in Health & Safety Committee activities and ensure timely closure of assigned actions.
  • Support safe work execution through effective permit-to-work and contractor management processes.
  • Ensure contractors and service providers align with plant safety, security, and environmental standards.
  • Promotes a proactive safety culture and continuously improve workplace safety performance.
  • Contribute as an active member of the Plant Leadership Team.
  • Take role in continuous improvement initiatives aimed at improving efficiency, service quality, compliance, and employee experience.
  • Collaborate with Continuous Improvement teams to strengthen workplace organization, 5S implementation, and operational effectiveness.
  • Track and close audit findings and action plans within the area of responsibility.
  • Support achievement of plant objectives through effective planning, prioritization, collaborator engagement, and disciplined execution.
  • Track key performance indicators (benchmarks) related to compliance, contractor performance, employee services, and administrative effectiveness.

What you will need to be successful

  • Minimum bachelor’s degree or equivalent experience from an accredited university
  • At least 5 years of similar work experience within manufacturing or an industrial environment
  • Regulatory compliance, licensing, permit management, reporting requirements.
  • Contract management, supplier performance management, and procurement processes.
  • Administrative services, facility management, and operations support functions.
  • Understanding of Health, Safety, Environment (HSE) requirements.
  • Understanding of cost control and basic financial management principles. Strong collaborator management, relationship-building, and networking skills.
  • Good at communication, presentation, negotiation, and influencing abilities.
  • Effective planning, organizing, and prioritization skills.
  • Strong analytical, problem-solving, and decision-making capabilities.
  • Contract and vendor management skills.
  • Project coordination and continuous improvement skills.
  • Proficiency in Microsoft Office applications.
  • Manages multiple priorities and deadlines in a dynamic manufacturing environment.
  • Establishes effective relationships with government authorities, contractors, suppliers, and internal collaborators.
  • Interprets regulatory requirements and translate them into practical business actions.
  • Work independently while optimally collaborating across functions.
  • Identify risks, develop mitigation plans, and drive corrective actions.
  • Lead initiatives, influence outcomes, and contribute effectively as a member of the Plant Leadership Team.
  • Maintain confidentiality, professionalism, and sound judgment when handling sensitive business and employee matters.
