Job Description

What is the opportunity?

This position reports to the Head of the Financial Institution Group. The employee is required to provide highly professional, effective and efficient Executive Assistant support to the FIG team as required.

This is a permanent, full-time role and requires 4 days in the 100 Bishopsgate, London office.

What will you do?

  • Busy and complex diary management, anticipating the requirements and priorities of the FIG team. Effectively managing competing priorities using initiative to resolve sudden changes to itineraries with minimal supervision.
  • Arrange meetings with senior client executives via their assistants, requiring confidentiality and an ability to develop relationships with the relevant EA’s.
  • Co-ordinate diaries for meetings, corporate hospitality, conference calls and lunch and dinner reservations, and ensuring internal meeting room and refreshment bookings are made.
  • Arrange domestic and international travel (including visa requests), accommodation, maintaining itineraries and compiling expense claims on return; respond to the need to change travel arrangements at short notice.
  • Various administration tasks including handling expenses using the Concur system, loading call reports in CRM and processing invoice requests.
  • Establish professional and effective communication at all levels.

What do you need to succeed?

Must-have

  • Experienced EA with an ability to work independently Strong organisation skills at all levels involving a high level of attention to detail across all tasks
  • Good knowledge of Outlook, Word, Excel and PowerPoint. Strong communication skills (both verbal and written) with tact and diplomacy and ability to converse with senior management
  • Calm and flexible nature in terms of dealing with urgent requests and situations
  • A broad experience of dealing with a wide range of different personalities and workloads
  • Strong organizational skills, attention to detail and problem solving skills
  • Good time management

Nice-to-have

  • Concur, Workday and CRM experience is an advantage
  • Experience of supporting Executives within Financial Services is highly desirable
