Overview:

Responsible for  planning and execution of the organization's business operations on a regular basis.  Defines, develops, improves, and ensures alignment with operational best practices, process, and policies to support strategy and goals. Increases the effectiveness and efficiency of support services through Operational Excellence and Continuous Improvement. Clients in this job family can be internal/external clients, channel partners and vendors.

Responsibilities include but are not limited to:

  • Develop and sustain knowledge of line of business product specific document usage, requirements for handling and data validation

  • Apply in depth knowledge of capture software modules, knowledge of business area forms, products, electronic document import processing, remittance handling requirements and management of various service level agreements

  • Independently leverages technology to receive and take accountability for assigned tasks and closes tasks promptly when resolved with sufficient documentation and follow-up noted.

  • Coordinates timely and accurate fulfillment of Service Now requests.

  • Articulate and proficient with various technologies specific to job functions.

  • Responsible for independent follow through to ensure swift resolution to research and supports other department teams as needed in a variety of tasks.

  • Adhere to compliance 38a-1 requirements including Date and Time Stamping timelines for processing incoming Front-End work and confidentially manage private customer information.

  • Collaborates with key stakeholders to ensure compliance and service level standards are met for document service needs. Proactively identifies gaps in service and initiates team collaboration to ensure customer service requirements are consistently met.

  • Manage queue of electronic images to successfully complete document review and data validation within compliance and service level requirements.  Performs quality checks of transactions processed.  Identifies and takes actions on errors; researches and implements prevention plans to minimize similar errors in the future; maintains departmental standards for quality and productivity.

  • Prepares hard copy documents for scanning

  • Affirms electronic documents are directed to the correct business product line

  • Identifies the appropriate client area workflow for each scanning application and utilizes software accordingly

  • Identifies opportunities to automate repeatable processes, submits automation concepts and requests to technical support teams

  • Utilizes image scanning hardware to execute document capture

  • Utilizes image software to import or scan documents, perform document review, validation and committal to image repository

  • Manages original (hard copy) documents according to established retention schedules

  • Works with department leaders on projects designed to improve business processes. Identifies and recommends areas where improvements are straightforward to facilitate improving processes, automation and customer service

  • Maintains scanner performance by cleaning scan hardware according to established maintenance schedule

Qualifications:

  • Excellent attention to detail and organizational skills.

  • 10 key computer skills

  • Problem solve and manage high volume of workload that has tight turnaround

  • Fingerprinting is required

Preferred Qualifications:

  • Experience with Kofax and/or Total Agility Document Capture software and Kodak midrange production use.

If you’re in a commutable distance (90 minutes), you’ll join us 3-4 days each week in our offices to collaborate and build relationships. On premise required for the duration of training (4 to 6 weeks) then minimal hybrid available (remote 1 to 2 days max per week). Team members are mostly on premise all week. Our policy allows flexibility for the reality of business and personal schedules.

The estimated base pay range for this job is:

$15.87 - $27.98
