Senior Administrative Assistant

We are seeking a highly skilled and proactive Executive Administrator to provide top-level support to a Senior Vice President within OCI. This is an opportunity to serve as a central part in driving communication, organization, and operational excellence across a high-impact senior office of the company. 

Executive Support & Communications

  • Manage executive calendars, priorities, and communications with precision and confidentiality.
  • Prepare meeting materials and briefings for internal and external engagements.
  • Track key initiatives and organizational goals, ensuring follow-through and alignment.
  • Manage travel, expenses, and budget tracking efficiently. 

 

Program Management

  • Help with planning and content coordination for internal and external events and team off sites.
  • Organize and execute leadership development activities and events. 

 

Stakeholder & Relationship Management

  • Collaborate across functions and teams to gather and synthesize strategic insights.
  • Partner with fellow Executive Assistants to share best practices, collaborate to the benefit of all of our executives, and be an in-office contact at our Nashville HQ. 
  • Build trusted relationships across all levels of the organization to ensure smooth communications and alignment for strategic initiatives. 

 

Preferred Qualifications & Skills

  • 5+ years of experience supporting senior executives in a fast-paced, high-growth environment.
  • Proven project management skills with an ability to track complex initiatives.
  • Strong interpersonal and relationship management skills.
  • Ability to collaborate across organizational levels with professionalism.
  • Excellent written and verbal communication skills.
  • Deep discretion and judgement in handling confidentional/secure information.
  • Highly organized, proactive, and adaptable to shifting priorities and evolving business needs. 
Works on assignments that are complex in nature where considerable judgment and initiative is needed in resolving problems and making recommendations. Exercises judgment within defined procedures and practices to determine appropriate action. Normally does not receive work instructions, may determine methods and procedures on new assignments and may supervise other administrative employees. Ability to work in a dynamic fast paced environment. Knowledge of spreadsheet applications. Demonstrated strong organizational skills. Proactive and resourceful. Self-motivated. Proficient in desktop applications such as MS Word, Excel, PowerPoint, email messaging tools, etc. BA/BS degree or equivalent. 2 - 4 years of related experience.
