Job Summary and Responsibilities

As our Clinic Receptionist you will help patients and the clinical team navigate the front-office experience so they can enjoy a smooth, efficient, and well-organized visit. Every day you will serve as the face of the clinic, managing patient intake, scheduling, and general office communication. You will be expected to accurately register patients, verify insurance and demographic details, collect payments, and provide essential administrative support to ensure daily operations run seamlessly. To be successful in this role, you must possess strong organizational skills, clear communication abilities, and the professional independence required to manage business office duties with precision and minimal supervision.

 

  • Front-Desk Operations: Manage the full patient intake process, including greeting patients, verifying insurance, scanning documentation, and ensuring all registration paperwork is compliant with regulatory policies
  • Appointment Management: Serve as the primary point of contact for scheduling, confirming next-day appointments, managing "no-show" follow-ups, and directing incoming phone calls efficiently
  • Financial & Billing Responsibilities: Accurately collect co-pays, deductibles, and time-of-service payments, while performing daily cash drawer reconciliation
  • Medical Record Maintenance: Prepare patient charts prior to visits and ensure all clinical and demographic information is accurately scanned and filed into the electronic medical record (EMR)
  • Patient Flow & Communication: Coordinate the daily clinic schedule by notifying clinical staff of patient arrivals, communicating appointment delays, and managing office correspondence
  • Administrative Support: Maintain an organized office environment by managing interdepartmental mail and assisting with inventory and supply procurement

Job Requirements

Required

  • One year of customer service experience, clerical, or business-related experience
  • Must be 16 yrs of age or older
