The opportunity

Are you an experienced, agile and hands-on Executive Assistant who thrives in a dynamic, international environment? We are looking for a versatile Executive Assistant to provide dedicated support to Global Head of Government and Institutional Relations. This temporary maternity cover role (1 year contract) offers a unique opportunity to contribute to the success of a highly visible global function.

Your responsibilities

  • Provide proactive support to the Global Head of Government and Institutional Relations, including calendar management, meeting coordination, travel arrangements, visas, and accommodations.
  • Act as a trusted point of contact for internal and external stakeholders, handling inquiries with professionalism, discretion, and sound judgment.
  • Research, compile, verify, and prepare presentations, reports, correspondence, organizational charts, and other business-critical documentation.
  • Support communication activities across the Government & Institutional Relations function, ensuring effective information sharing and stakeholder alignment.
  • Support digital collaboration and communication platforms, including virtual meetings, webinars, SharePoint, intranet content, and newsletters.
  • Implement Hitachi Energy processes and contribute to the continuous improvement of administrative procedures and ways of working.
  • Organize business-critical meetings and events while providing administrative and financial support related to travel, expenses, purchase orders, invoices, and budget tracking.

Your background

  • Bachelor's degree or equivalent qualification in a relevant discipline.
  • Minimum 5 years of experience in an Executive Assistant role supporting senior leaders in a complex international environment.
  • Exceptional organizational and planning skills, with the ability to manage multiple priorities and deadlines effectively.
  • Strong communication and stakeholder management skills with a service-oriented mindset.
  • Proven ability to work independently, anticipate needs, take initiative, and handle confidential information with the highest level of integrity.
  • Strong digital proficiency, including Microsoft Office applications (Word, Excel, PowerPoint, Outlook), SharePoint, virtual collaboration tools, and webinar platforms.
  • Fluent in English and German, both written and spoken. Additional language skills are considered an advantage
