Workforce Operations Coordinator

About the Role:
We are looking for a highly organized, data-driven, and proactive Scheduling Coordinator to own driver scheduling, attendance, and workforce utilization across our West Region.
In this role, you will be responsible for ensuring every available driver is scheduled, engaged, and reliably showing up to work. You'll proactively monitor driver utilization, identify scheduling gaps, and use a combination of technology, automation, phone calls, text outreach, and coaching to maximize driver participation.
This role is ideal for someone who enjoys working with data, thrives on hitting performance goals, and isn't afraid to pick up the phone. You'll think like both an operations manager and a sales development representative - building relationships with drivers while consistently driving scheduling and attendance outcomes.
As 8Fleet continues investing in AI and automation, you'll also help build and optimize automated workflows, communication campaigns, and operational tooling that allow our scheduling organization to scale efficiently.
What You'll Do:
Driver Scheduling Ownership: Own weekly driver scheduling across assigned markets, ensuring available drivers are consistently scheduled to meet operational demand.
Driver Utilization Management: Monitor driver utilization metrics, identify underutilized drivers, and proactively develop plans to increase shift participation.
Proactive Driver Outreach: Call, text, and email drivers who are underscheduled or not meeting scheduling expectations. Coach drivers on available opportunities and work to maximize weekly shifts.
Attendance Management: Own attendance tracking across the market, monitoring call-offs, no-shows, late arrivals, and attendance trends.
Missed Shift Recovery: Immediately contact drivers who miss scheduled shifts, determine root causes, recover available labor whenever possible, and document attendance outcomes.
Attendance Accountability: Issue attendance coaching, warnings, and corrective actions in accordance with company policy. Recommend driver offboarding when attendance standards are not met.
Workforce Reporting & Analytics: Maintain reporting on scheduling coverage, utilization, attendance, no-show rates, outreach effectiveness, and other workforce KPIs. Use data to identify trends and recommend operational improvements.
Automation & AI Enablement: Build, maintain, and optimize automated communication workflows using AI and operational tools to increase scheduling efficiency and reduce manual work.
Driver Communication: Serve as a primary scheduling resource for drivers by answering scheduling questions, helping resolve conflicts, and ensuring drivers understand scheduling expectations.
Process Improvement: Continuously identify opportunities to improve scheduling processes, outreach strategies, attendance programs, and workforce planning.
Cross-Functional Partnership: Partner closely with Operations, Market Leadership, Fleet, and Driver Support teams to ensure labor supply aligns with operational demand.
Successful Candidates Will Bring:
1–3 years of experience in workforce management, operations, scheduling, inside sales, customer success, startups, recruiting, or similar high-volume coordination roles.
Comfortable making a high volume of outbound phone calls, texts, and emails each day.
Strong organizational skills with the ability to prioritize multiple competing tasks.
Excellent communication and relationship-building skills.
Highly data-driven with strong analytical and problem-solving abilities.
Advanced proficiency with spreadsheets, including formulas, filtering, reporting, and data analysis.
Comfortable learning new technology and AI-powered operational tools.
Experience building or managing automated workflows is a strong plus.
Ability to work independently with minimal supervision.
Strong attention to detail and process discipline.
Bachelor's degree required.
Experience with rideshare platforms (Uber, Lyft) is a plus.
Experience using scheduling or workforce management software (When I Work, Deputy, UKG, etc.) is a plus.
Must be comfortable working early morning or evening hours as business needs require.
Compensation:
Pay: $72,000
