Custody Reference Data Analyst

As a Client Documentation and Reference Data Analyst in Custody Operations, you manage and verify client documentation and reference data to support account setup and onboarding readiness. You set up and maintain client, fund, and security data in custody platforms to enable trade execution and settlement activities. You investigate exceptions, resolve service issues, and maintain data integrity using established procedures and controls. You partner with internal stakeholders and external parties to drive timely completion and clear communication. You contribute to process improvements that enhance efficiency, reduce risk, and improve the client experience.
Job responsibilities
- Validate client documentation and onboarding information for completeness, accuracy, and timeliness.
- Set up and maintain client, account, fund, and security reference data in custody systems.
- Coordinate account setup activities with internal partners and external parties to meet agreed timelines.
- Investigate exceptions and data discrepancies and drive resolution through to closure.
- Apply controls and procedures consistently to maintain confidentiality and data integrity.
- Respond to stakeholder inquiries with clear status updates and documented outcomes.
- Monitor workloads and deadlines to ensure timely processing during peak volumes.
- Identify process gaps and recommend improvements to reduce rework and enhance onboarding quality.
- Support change initiatives by completing assigned testing, documentation, or implementation tasks.
Required qualifications, capabilities and skills
- Demonstrated experience in financial services operations, client onboarding, documentation processing, or reference data management.
- Demonstrated ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
- Strong attention to detail and consistent focus on data quality and accuracy.
- Strong analytical and problem-solving skills, including the ability to investigate exceptions and resolve issues.
- Strong written and verbal communication skills, including the ability to provide clear status updates to stakeholders.
- Demonstrated ability to work collaboratively across teams and manage stakeholder expectations.
- Proficiency in Microsoft Excel, Outlook, and PowerPoint for tracking, analysis, and reporting.
- Demonstrated ability to follow documented procedures, maintain confidentiality, and operate within a controlled environment.
- Working knowledge of custody operations concepts, including account setup and reference data requirements.
Preferred qualifications, capabilities and skills
- Experience supporting client onboarding for custody, funds, or securities services.
- Experience coordinating with external parties (for example, agents or fund managers) to complete setup and resolve exceptions.
- Experience producing operational metrics or dashboards to track onboarding progress, quality, and exception themes.
- Experience participating in process improvement initiatives that reduce errors and improve turnaround time.
- Experience using automation, workflow, or data tools to streamline reference data processing.
