Raise the efficiency and effectiveness of the day-to-day operation of the Event Management Department while personally planning and servicing conference business. In the absence of the Director of Event Management, assume full responsibility for the operation of the Event Management Department.
What you will do
ESSENTIAL FUNCTIONS:
- In the absence of the Director of Event Management, assume full responsibility for the operation of the Event Management department. (5%)
- Finalize the requirements of personally assigned bookings while maximizing revenue potential through up selling and ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event. Ensure accuracy of Banquet Checks and provide bill review on completion of program or event. (30%)
- Day to day supervision of the Event Management function. Including maintaining and monitoring the accuracy and effectiveness of all written communication procedures. These procedures include but are not limited to: Menu and Event Proposals, Contracts, Banquet Event Orders, Resumes, Daily Events Report, and Golden Sales and Catering Input Standards and execution of banquet events. (20%)
- Host and ensure maximum effectiveness of Banquet Event Order Meetings, Resume meetings, and participate in the review, audit, and assignment to the Event Managers of all booking turnovers from the Sales Department. (8%)
- Participate in the preparation and analysis of the Catering and Conference Services weekly financial forecast (3%)
- Find solutions to the inevitable challenges and glitches that arise while groups are on property and keep Director of Event Management and Planning Committee promptly and fully informed of all problems or unusual matters so prompt corrective action can be taken. (5%)
- Maintain knowledge of hotel facilities, capacities and dimensions of meeting space and basic operational needs of all operating departments. (5%)
- Make timely and impromptu decisions, which balance client’s needs with the financial, safety and staffing goals of the hotel. (2%)
- Plan and/or attend and/or participate in meetings with hotel staff and clients, including but not exclusive to: Morning Operations Briefing, Morning Event Management Briefing, Resume Meeting, Banquet Event Order Meeting, Sales Meeting, Pre-Convention Meetings, Weekly Board of Operations, Planning Meetings, and Menu Tastings. (15%)
- Respond according to the crisis management plan to any resort emergency or safety situation. (2%)
- Comply with Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers and Planning Committee. (5%)
NON-ESSENTIAL FUNCTIONS:
- Assist with all inquires within the sales, marketing and catering department, including assistance with high telephone volume and walk-in site inspections.
- Maintain an understanding of Social/Corporate Catering and when required assume an active role.
- Perform other tasks or projects as assigned by hotel management
- Act as the liaison for all vendor/supplier related client needs, (i.e. Audio Visual, Florists, Entertainment, Transportation, DMC, Off-site Locations etc)
- In conjunction with the Director, prepare, conduct performance evaluations and mentor for Event Managers, and Administrative Assistant. In addition, facilitate training of new Catering and Event Management employees, and recommend the hiring, terminating, or disciplining of any Catering or Event Management employee.
What you bring
- Education: College education preferred
- Experience: 3-5 Years experience as an Assistant Director of Director of Catering or Event Management in a full-service resort or hotel, of which a minimum of 3 years must have been in an Event Management role. Luxury resort experience is preferred.
- Skills and Abilities: Excellent reading, writing & oral proficiency in the English language.
- Proven interpersonal skills with a track record of successful client interactions.

- Strong organizational skills.
- High level of creativity
- Ability to multitask
- Attention to detail.
- Ability to work long and irregular hours, weekends, and evenings.
- Able to negotiate, organize, delegate and work under pressure
- Basic knowledge of audio-visual equipment, internet, telecommunication technology – helpful.
- Knowledge of Delphi Sales and Catering Software
- Computer literacy to include MS Word, Excel, and ability to use e-mail and Internet.
