Everyone who joins a project needs a corporate identity, a secured workplace, the right licensed software and clearance against the client’s security requirements. Until that is done, they cannot start working. Our clients set strict rules on how and from where their content may be accessed, and meeting those rules is part of how we win and keep business.
This role owns the full cycle. You take a request from a producer or delivery manager — often a spreadsheet listing five to ten new contributors with different countries, start dates and hardware situations — and turn it into a fully equipped, compliant, working team. When a project wraps, you close it out just as carefully: every access revoked, every device returned, every license freed up.
This is not a help desk role with printers and password resets. It sits at the intersection of IT, security and operations, and your speed directly affects when a project starts generating revenue. The team currently handles around 85 tickets a month and the volume is growing — so there is real room here to build the process, not just run it.
Responsibilities
Vendor onboarding
– Take in requests from producers and delivery teams; clarify team composition, locations, start dates and each project’s specific security requirements;
– Create corporate email and workspace accounts, issue initial credentials, and handle reactivations and account closures;
– Set up private project communication channels, add members, and grant access to project management systems, whiteboards, design tools and version control;
– Choose and deploy the right workplace model for each case: a hosted remote workstation, or endpoint agents (EDR + MDM) on the contributor’s own machine where a remote workstation is unavailable or impractical;
– Keep the status of every contributor current — NDA, mandatory training, security awareness, workstation access, installed software — and keep producers informed proactively, before they have to ask.
Workstations & endpoint support
– Prepare, configure and hand over remote workstations and corporate laptops: OS installation, disk encryption, antivirus/EDR, remote management agent, access provisioning;
– Install and maintain production software on artists’ and engineers’ machines — DCC tools, texturing and sculpting packages, game engines — and resolve licensing issues;
– Troubleshoot workplace incidents: performance, application crashes, connectivity, permissions, peripheral setup;
– Set up specialized hardware, including console dev kits under NDA, and verify connectivity for distributed offices and studios;
– Prepare devices for reassignment: secure wipe, reimaging, handover to the next user.
Access, security & compliance
– Revoke access at offboarding — one person at a time or in batches of up to fifteen, without missing anything;
– Run regular audits of active users and assigned licenses: who still has access, and whether they should;
– Escalate non-standard cases to the security team (contributors in restricted regions, refusals to install agents on personal hardware, interim setups while hardware is in transit) and drive them to a resolution rather than leaving them open;
– Keep process documentation, onboarding and offboarding checklists and access matrices up to date.
Licenses & hardware as assets
– Purchase, renew and reallocate software licenses in pools of twenty seats or more; make sure we are not paying for seats nobody uses;
– Maintain hardware records: what has been issued, to whom, where it is now and what has already come back;
– Arrange international shipping of workstations and laptops — carrier selection and cost comparison, paperwork, tracking, handling damage in transit, and initiating contract addenda for equipment handover.
Requirements
Must have:
– 2+ years in IT support, system administration or IT operations — ideally within a distributed international team;
– Confident hands-on administration of Windows workstations and laptops (macOS a plus): disk encryption, permissions, updates, diagnostics;
– Hands-on experience with antivirus/EDR and remote endpoint management systems — for example ESET, Action1, JumpCloud;
– Google Workspace administration: creating and disabling accounts, groups, permissions, delegation, core security settings;
– Access management across Slack, Jira, Confluence, Miro and Figma — including full, auditable revocation;
– Experience with remote workstation access technologies: Parsec, RDP, VDI, AnyDesk or equivalents;
– Working knowledge of version control for content pipelines — SVN or Perforce: creating users, revoking access, basic operations;
– Software license management: tracking, renewals, seat reallocation, cost control;
– Professional written English (B2+). A significant part of the job is correspondence with contributors worldwide, with internal producers and with client-side teams. You need to be able to explain to a non-technical artist why a security agent has to be installed on their machine — and get their buy-in;
– Jira as your primary working environment: living in tickets, keeping statuses current, updating threads without being reminded.
Nice to have:
– Experience in game development, an outsourcing studio, VFX or animation — and an understanding of how art and engineering pipelines actually work;
– Experience working under major-publisher security requirements: NDAs, isolated or hardened workplaces, access audits, handling development hardware under NDA;
– Familiarity with production DCC software (Maya, Blender, ZBrush, Substance, Photoshop and similar) — at least at the level of installation, licensing and common issues;
– International hardware logistics: carriers, customs, insurance, equipment handover paperwork;
– Automation skills — PowerShell, Python or Bash scripting, Jira Automation.
