Overview

Key West Historic Inns is seeking a friendly, energetic, and guest-focused Front Desk Agent to join our team. As the first and last point of contact for our guests, you will play an essential role in creating memorable experiences by providing warm hospitality and personalized service. In this role, you will welcome guests, assist with reservations, process check-ins and check-outs, answer questions, and ensure every guest enjoys a seamless stay. Responsibilities

  • Welcome guests with a warm, friendly, and professional demeanor while providing exceptional customer service throughout their stay.
  • Process guest check-ins and check-outs accurately and efficiently using the hotel's property management system.
  • Assist guests with reservations, room assignments, billing inquiries, and special requests.
  • Answer telephone calls, emails, and guest inquiries promptly while providing accurate information about the hotel, amenities, and local attractions.
  • Resolve guest concerns and service requests professionally, escalating issues when appropriate to ensure guest satisfaction.
  • Maintain accurate guest records, reservations, and payment information.
  • Process cash, credit card, and other payment transactions while following established cash handling procedures.
  • Coordinate with Housekeeping, Engineering, and other departments to ensure guest needs are met promptly.
  • Monitor room availability and communicate room status updates to appropriate departments.
  • Maintain a clean, organized, and welcoming Front Desk and lobby area.
  • Promote hotel amenities, services, and local experiences to enhance the guest stay.
  • Follow hotel policies, procedures, safety standards, and security protocols.
  • Assist with Night Audit responsibilities or other operational duties as assigned.
  • Perform other duties as assigned in support of Front Office operations.

Qualifications

  • Previous customer service or hospitality experience preferred; hotel Front Desk experience is a plus.
  • Experience with hotel property management systems such as StayNTouch, Opera, or similar PMS platforms preferred.
  • Excellent communication and interpersonal skills with a friendly, professional, and positive attitude.
  • Strong organizational skills and attention to detail.
  • Ability to multitask, prioritize responsibilities, and remain composed in a fast-paced environment.
  • Strong problem-solving skills with the ability to handle guest concerns professionally and efficiently.
  • Basic computer proficiency, including Microsoft Office and hotel management software.
  • Ability to work a flexible schedule, including mornings, evenings, weekends, holidays, and varying shifts based on business needs.
  • Ability to stand and walk for extended periods and occasionally lift up to 25 pounds.
  • Must be able to read, write, speak, and understand English.
